Sending one form to a list of clients at once, now or at a time you pick.
When a form goes to many clients at once, such as an annual review packet or a quarterly update, you can send it to a list in one step. You can also set a time for it to go out, or have it go out again every month, quarter or year. Each client still gets their own link, their own reminders and their own row in your Requests list, exactly as if you had sent it to them one at a time.
A client you are adding for the first time, typed in rather than chosen, can only be sent to on their own. Send to them first, then add the rest.
Only clients with an email address or a cell phone number are listed. Anyone already being waited on for this form is shown but can't be added, so nobody is asked twice.
The send runs in the background, and the dialog closes once it has started. Press Share again to see how far it has got. You can leave the page while it goes. When it finishes, the same place says how many clients it reached and names anyone it did not: a client whose email or text could not be delivered, one with nothing on file to write to, one who already had this form waiting, or one held back because of the filled document the form hands out. A form that fills in a Social Security number goes only with the say-so of a member who may still see one, so a send lined up by somebody who has since left or lost that permission goes to nobody, and says so; send it again yourself. Press the name of a client who could not be reached to open their request, correct the address and send it again. Every member sees how the last send went, for a week afterwards, including sends that went out on a schedule or at a time you picked.
One send can reach up to 250 clients. For more, send in smaller batches.
Each client you send to who is not already an active client becomes one, so a large send can take you past the clients your plan includes. Each one past it is charged monthly, and nothing stops the send. See Plans.
If the form names roles besides the client (see Several people on one request), each role is filled from each client's own client group as the send goes, the way a single send fills it: their co-client for a spouse or partner role, their CPA for a CPA role. A role a client's group doesn't hold, or holds somebody for who can't be reached, is answered by the client. If you add both halves of a couple, they share one request rather than getting one each. How the send went names each client whose request was shared, and with whom. Who signs is set on the form's roles, so the box below is not offered.
On a form without roles, if it asks for a signature, you can tick Their spouse or partner signs too. Each partner gets their own link and code once the first person has sent the form back. If Cartenda cannot tell who the partner is, or cannot reach them, the dialog lists who will sign alone and why, before you send.
The send button has an arrow beside it, whether you are sending to one client or many. Choose Tomorrow, 9am or Monday, 9am, or choose Pick a date and time…, set the time and press Schedule send. Times are on your workspace clock.
Nothing is created and no link exists until that moment. Until then the send is listed under Waiting to go out at the top of the form's Requests tab, and on the client's page. Press Call off, then Call off send to confirm.
A lined-up send is held, not lost, if the form is closed to clients or your subscription has lapsed when its time comes. It goes out once the problem is fixed.
Under Send on a schedule at the top of the form's Requests tab, press Set a schedule. From the Share dialog, Send on a schedule takes you there. The section appears on Requests once a form has something lined up or scheduled.
Press Put it on this schedule. Each schedule on the page shows how it is going and who set it up. Use Change to edit it, Stop to pause it (and Start to resume), or Remove to delete it. Removing a schedule does not affect anything it has already sent.
A form that delivers a PDF filled for one client group can't be put on a schedule, because a schedule reaches clients outside that client group. Send it to them by hand instead.
Any member can send to many clients, line up a send and set a schedule. The form has to be open to clients, and while billing has lapsed, nothing new can be sent.
