Who uses it

When to send it

Listing agents send this when a seller signs on. It names every owner, the property address, and the documents that answer a buyer’s first questions: the deed, the latest property tax bill and the homeowner’s insurance policy.

It also asks what is owed, with the latest mortgage statement when there is one, and the homeowners’ association’s details when the property is in one.

Tips

Getting it back complete

  • Ask for the full legal name of every owner on title, not just the person you have been talking to.
  • Ask about repairs, upgrades and known problems in writing. It is where disclosure starts.
  • Ask for the latest mortgage statement early, so the payoff is no surprise.
  • Ask about an HOA up front. The association’s documents can take a while to arrive.
